Shipping and Receiving Administrator and Cycle Counter

JOB DESCRIPTION

POSITION SUMMARY:

The Shipping and Receiving Administrator and Cycle Counter is responsible for system related shipping and receiving, inventory cycle counts and coordination with logistics for exceptions. This role will work alongside the team to ship and receive orders as well as be involved all aspects of the warehouse operation: picking and shipping orders, receiving and putting incoming shipments into stock, running inventory reports, as well as receiving and submitting orders into the ERP system.

Responsibilities:
Administrative: 50%

• Ensure the quality and accuracy of shipping and receiving documentation is timely and complies with all legislative and internal company requirements.
• Produce and provide accurate reports relating to inventory, lot code, materials and finished goods. 
• Ensure all documentation is maintained and updated accurately in the ERP system in a timely manner.
• Recommend, develop and implement process improvements, as required.
• Communicate all delays or variances in inbound/outbound freight to the appropriate parties.
• Track inventory levels to meet internal and external demand of product.
• Ensure shipments received by the department are in good condition.
• Conduct regular cycle-counts of inventory, supplies and equipment.
• Ensure packing slips are received into the ERP system daily and passed to finance.
• Book freight with carriers based on required delivery dates from ERP and requirements report, as required.
• Act as a back up to the Logistics/Supply Chain Specialist.
• Extract data for analysis and to generate reports from the ERP system.
• Provide data for aged inventory reporting.
• Communicate delays/issues/concerns to the Warehouse Supervisor in a timely manner.
• Support any inquiries from the customer service team regarding delivery and inventory. 
• Notify applicable departments when products arrive and deliver.
• Submit all requested inventory data to the finance team on a timely basis.
• Perform inventory counts one weekend per month.
• Follow and comply with Cube Management System (CMS).
• Other tasks as assigned by Warehouse Supervisor.

Forklift Operation: 50%
• Move products and material by hand or with basic material handling equipment, including forklift.
• Fill shipments as per the requirements report and customer’s requirements.
• Hands-on involvement in all aspects of warehouse operations, including picking, packing, shipping, receiving, stock put away, cycle counting, etc.
• Validate inventory accuracy by ensuring bin locations are maintained. 
• Ensure products are packed at IMM and packing area, as required for staging prior to shipping.
• Complete necessary paperwork for shipping and receiving as well as input into ERP.
• Move plastic totes to the WIP area, as required. 
• Print tickets for totes in ERP system, as required.

Knowledge and Qualifications
• A minimum of 2 years of experience in a manufacturing warehouse operation driving a forklift.
• Completion of post-secondary education.
• Experience with warehouse management systems (WMS)/implementation experience an asset.
• Strong computer skills and aptitude with MS Office, warehouse management and ERP software.
• Strong aptitude with numbers and strong attention to details and quality.
• Recent experience operating a forklift; valid driver’s licence and forklift certification preferred.
• Experience in Lean Manufacturing methodology.
• Solid problem analysis and solving skills.
• Strong organization and multi-tasking skills required.

Working Conditions:
• Typical manufacturing environment.
• Standing, bending, twisting, must be able to lift up to 25 pounds.

Hours of Work
• Office hours are Monday to Friday 8:30 a.m. – 5:00 p.m.
• Late start times may be required for off hours loading of trucks.
• Must be willing to work occasional extended hours, off-shifts and weekends as required.
